Cancellation & Missed Appointment Policy

No-Show / Non-Attendance

A patient who fails to show up for their appointment will be charged a No-Show Fee comprising 50% of the appointment fee. This also applies to any patient who notifies us of non-attendance during their scheduled appointment time.

Each no-show will also be considered a Missed Appointment and be applied to the grace limit (3) of missed appointments per 12 month period.

Cancellations

As a courtesy to both our practitioners and your fellow patients, we kindly ask for a minimum of 24 hours notice for appointment cancellations or rescheduling. This allows us to accommodate other patients in need of care and optimise our scheduling system. Appointments which are cancelled within 6 hours of their booked time will be treated as a missed appointment.

Missed Appointments

Standard & Long Consultations: Grace limit of 3 missed appointments within a 12 month period. Future missed appointments thereafter will incur the full fee each event.

Initial Consultations: Grace limit of 1 missed appointment. Future bookings will require full prepayment and a strict 24 hour cancellation policy applies in these cases. Cancellations, Missed Appointments or No-shows/Non-attendance within this 24 hour period will result in the loss of this prepayment.

The grace limit count resets after the patient has not had any missed appointments over a 12 month period.

Latecomers

All of the practitioners run a very tight schedule where patients are often scheduled back to back. If you are running late it will cut into your own appointment time and it is not fair if it then affects the next patient’s appointment.

Patients arriving more than 5 minutes late to their appointment will be treated as a missed appointment and will require a new booking.

After Hours Appointments

Occasionally our Chiropractors will offer initial consultation appointments outside of their normal clinic times in order to clear some of their wait-list backlog. Often during busy periods new patients will find it difficult to secure timely appointments due to the longer nature of these consultations.

These times will be unstaffed and the Chiropractor will be coming in on their day off, often sacrificing time with their families. Full prepayment is required to secure an after hours appointment and this will be made clear by our admin team when booking.

This prepayment is non-refundable however we will happily reschedule the appointment to another time if given 24 hours notice. Missed or cancelled appointments will forfeit their deposits.
